HubSpot runs your marketing, sales and service. MYOB Acumatica runs your finance, stock and orders. On their own, each one only sees half of the customer. Not every business needs every row. A distributor usually needs products, orders and credit status. A professional services firm may only need companies, contacts and invoices. Start with the smallest set that removes the most re-keying.

Five ways to connect HubSpot and MYOB Acumatica

1. HubSpot's "Acumatica CRM" data sync

HubSpot builds and lists its own Acumatica app on the HubSpot marketplace. The app is free, and custom field mappings need a Data Hub subscription.

  • What it syncs: Acumatica business accounts with HubSpot companies (two-way), contacts (two-way), and Acumatica leads to HubSpot contacts (one-way).
  • What it doesn't: HubSpot's listing says plainly that this is a sync with the Acumatica CRM and not with the ERP. Reviewers note there's no deal or sales order sync, no AR customers and no cases.
  • Best for: businesses that mainly want Acumatica's customer and contact records mirrored in HubSpot for marketing.

2. Acumatica's HubSpot connector

Acumatica publishes its own connector for HubSpot, positioned around marketing and lead handover.

  • What it covers: contact sync, campaign results, and qualifying leads in HubSpot then transferring them into Acumatica.
  • What to check: Acumatica's page doesn't publish the full object list, sync direction per object or licensing, so confirm these with your MYOB Acumatica partner, and check it's available for your MYOB Acumatica edition and version.
  • Best for: businesses where marketing hands leads to a sales process that runs inside Acumatica.

3. Third-party sync apps

Specialist sync vendors (Commercient's Acumatica SYNC is one listed on the HubSpot marketplace) move ERP data such as customers, orders and invoices into HubSpot.

  • Pros: faster to stand up than a custom build, and they cover ERP objects that the free syncs don't.
  • Cons: an extra subscription, less control over field logic, and another vendor to support. Check where the vendor processes your data: HubSpot notes that marketplace apps may transfer data outside your HubSpot data centre location.

4. An integration platform (iPaaS)

HubSpot's Data Hub adds data sync and programmable automation inside HubSpot. Professional is A$1,037 a month billed annually and Enterprise A$2,880 a month. General integration platforms such as Workato, Celigo or Boomi sit between both systems. Zapier and Make work for light, low-volume automations.

  • Pros: flexible, visual, and good for businesses that connect many systems.
  • Cons: platform licence costs, and someone still has to design and maintain the flows. Light tools like Zapier aren't built for high-volume order and invoice sync.

5. A custom integration built on both APIs

A partner builds the integration directly against the HubSpot and MYOB Acumatica APIs, designed around your process.

  • Pros: syncs exactly what you need, including custom fields, multi-entity rules and your deal-to-order handover. No per-record sync fees.
  • Cons: a project cost up front, and it needs an owner for changes and monitoring.
  • Best for: businesses where orders, invoices and credit status need to reach sales reliably, or where the process doesn't fit a standard connector.

Design decisions that make or break the project

Most integration problems aren't technical. They come from decisions nobody made before the build started.

  1. System of record per field. The ERP should own billing address, payment terms and credit limit. The CRM should own lifecycle stage, lead source and marketing consent. Two-way sync without clear ownership produces overwrites.
  2. Matching rules. Decide how a HubSpot company finds its Acumatica customer: customer ID, ABN, domain or email. Clean up duplicates in both systems first, or the sync will multiply them.
  3. When a deal becomes an order. Agree the trigger (closed won, a signed quote, or approval) and what happens when the order is changed or cancelled in Acumatica afterwards.
  4. Timing. Real-time sync sounds good, but hourly or nightly is often enough for invoices and AR. Match frequency to how quickly each team actually needs the data.
  5. API capacity and licensing. HubSpot Professional allows 190 requests per 10 seconds and 625,000 a day for private apps. MYOB Acumatica API licensing is more restrictive, with one free API user by default, so confirm what your integration needs before you choose a design.
  6. Multi-entity and custom fields. If you run several Acumatica companies or branches, or rely on custom attributes, check the option you choose can handle them.
  7. Data residency. HubSpot can host your CRM data in Sydney, and MYOB Acumatica runs in ANZ data centres. A sync app or platform in between may process data offshore, so check that if it matters to your customers.
  8. Error handling and ownership. Someone needs to see failed syncs and fix them. Silent failures are how CRM and ERP drift apart.

Where AI fits

AI tools are making connected data more valuable. HubSpot added an MCP server and AI connectors for Claude, ChatGPT, Copilot and Gemini in September 2026, and Stratus has built an MCP server for MYOB Acumatica.
